Adminstrative/ Operations Intern

Throughout my internship at Westminster Village North, a senior living organization within the BHI community, I worked in a comprehensive healthcare setting that provides a full continuum of care, including assisted living, memory care, rehabilitation services, and long-term care. The organization is dedicated to delivering high-quality, compassionate, and resident-centered care while upholding strong standards of safety, regulatory compliance, and operational excellence across all areas of service.
As an Administrative Intern, I had the opportunity to work across multiple departments including Human Resources, Admissions, Nursing, Operations, Social Services, Communication, Memory Care, and Medical Records. My role involved supporting administrative functions, organizing documentation, assisting with audits, improving safety processes, and contributing to projects that enhanced both resident services and operational efficiency.
Primary Responsibilities and Projects
Throughout my internship, I completed a variety of cross-functional projects that strengthened daily operations and resident support services:
Administrative & Compliance Projects

Printed, updated, and assembled 26 Emergency Protocol Binders containing approximately 160 pages each for department directors.

Conducted audits of new employee files to verify required onboarding documents, identification, background checks, and compliance forms.

Audited approximately 180 existing employee files using a standardized checklist to ensure records were complete, organized, and accessible.

Reviewed, uploaded, and organized per diem resident contracts, including service details, pricing, and authorization forms.
Resident Services & Engagement

Assessed new residents to identify preferred physical activities and hobbies to support activity planning and resident satisfaction.

Tracked participation in daily activities for January and February using Icon software and Excel, then reported attendance trends to the Memory Care Director.
Operations & Safety

Audited resident call light systems to ensure devices were functioning properly and correctly assigned to rooms.

Installed evacuation tags in resident rooms to improve emergency preparedness and communication.

Assisted with laminating and organizing updated safety protocol signage for residents.
Records Management & Organization

Reviewed, scanned, digitized, and uploaded resident medical records into the PCC system for secure access.

Organized nursing office files, training records, protocol binders, and removed outdated materials through secure shredding.

Copied and scanned former resident files for digital storage and future access.

Learning Objectives and Outcomes
This internship taught me the importance of organization, confidentiality, teamwork, and attention to detail in a healthcare setting. I gained firsthand experience in how multiple departments work together to support resident care, employee compliance, safety standards, and efficient operations. I learned that maintaining accurate records, updated protocols, and organized systems is essential for regulatory compliance, staff productivity, and resident satisfaction. I also saw the value of gathering resident feedback to improve engagement and quality of life. I was expected to be dependable, professional, adaptable, and accurate in completing tasks across several departments. I met those expectations by staying organized, communicating effectively with staff, completing assignments on time, and being willing to assist wherever needed. I approached each project with professionalism and a positive attitude, which allowed me to make meaningful contributions throughout the internship. Overall, this experience strengthened my administrative, analytical, and communication skills while giving me a deeper understanding of healthcare operations and long-term care management.
